Todo and checklists

The team task board and checklist templates for new orders.

admin.youragency.com

The Todo board is your team's daily list. It shows every open order and support ticket as a card, alongside the tasks your team adds and the ones ClientOS creates for you. Checklists turn the steps you take on every order of a service into tasks automatically.

Tasks are for your team only. Clients never see a task or its comments, except checklist steps you choose to show.

The board#

The board has five columns that match the order flow:

AwaitingNew tasks, orders waiting on a brief, unanswered tickets
In progressWork underway
DeliveredOrders handed over and waiting on the client, tickets pending on the client
In revisionOrders the client sent back
CompletedFinished work

Views and filters#

  • Show: Orders, Tickets, Tasks or All.
  • Layout: Board, List, Roadmap, Calendar or Workload.
  • Whose work: Everyone, Mine, Overdue, or Mine & unassigned, depending on what your role can see.

Order and ticket cards#

Every open order has one card, titled with the client and what they bought, sitting in the column of its order status. Every support ticket has one too.

  • These cards move by themselves as the order or ticket changes. You can't drag them to another column or tick them off.
  • Assigning an order's card assigns the order, and the other way round.
  • The card's due date follows the order's due date (or, for a ticket, its first-response target).
  • Opening an order card shows the order's number, client, status, dates and lines. You can set the order's status from there.

Work with tasks#

Add a task#

  1. Click Add task.
  2. Type the title.
  3. Open it to add details.

Edit a task#

Click a card to open it in a panel on the right:

FieldWhat it does
TitleWhat needs doing.
StatusWhich column it's in.
AssigneeWho owns it. Choose Pick up to take an unassigned task yourself.
Due dateWhen it's due. Overdue tasks show in the Overdue view.
PriorityLow, Normal or High.
DescriptionWhat needs doing, and what good looks like.
SubtasksAdd with Add a subtask…, tick off, reorder or delete. The card shows progress like 2/5.
CommentsA thread for the team. The task's creator and assignee are notified of new comments.

Drag a card between columns, or within a column to reorder it. The keyboard works for dragging too. You can delete a task you added; its comments go with it.

Clear finished work#

Done cards don't need to stay on the board. Use Remove from board on a completed card, or Clear the Completed column to remove them all. Removed cards still appear on the record they belong to. Completed tasks older than 30 days drop off the board on their own.

Tasks on records#

Order, client, invoice and subscription pages each show the tasks linked to them, with a quick way to add one filed against that record.

Notifications#

  • Someone you assign a task to is notified (assigning yourself tells nobody).
  • The assignee is reminded when a task falls due. Unassigned and completed tasks get no reminder.

Tasks ClientOS creates#

ClientOS adds tasks when something needs a person:

WhenThe taskAssigned to
An order is placedThe order's card, plus its checklist steps as subtasksThe order's owner (or each step's person or role)
A support ticket is openedThe ticket's cardThe ticket's assignee
A client requests a revisionA follow-up on the orderThe order's owner
A client asks to cancel an order"Client asked to cancel ORD-…", high priority. It's ticked off when the request is answered or withdrawn. The order's owner
A payment hasn't become an order after half an hour"Payment with no order", high priority, with what to checkNobody

Checklists#

A checklist is the list of steps your team takes on every order of a service: keyword research, draft, proofread, publish. When an order is placed, each step becomes a subtask under the order's card, due that many days after the order was placed and assigned to whoever the step names.

Write a checklist for a service#

  1. Open the service in Store → Services and go to the Checklist step. Save the service as a draft first if it's new.
  2. For each step, fill in:
    • Step: what to do, for example "Keyword research".
    • Group: an optional heading, such as "Research" or "QA", to group steps.
    • Due: how many days after the order is placed.
    • Assigned to: Order's owner, a specific person, or Anyone who's in a role.
  3. Click Add step for more, and use the arrows to reorder.
  4. Leave Add these steps to new orders of this service on.
  5. Choose whether to Show progress to the client.
  6. Click Save checklist. It saves separately from the rest of the service page.

Editing a checklist changes orders placed from then on. Orders that already have the steps keep them.

Steps offered to a role#

When a step is assigned to a role, everyone in that role is notified and sees it, and anyone of them can Pick up the step to take it. Someone holding one step of an order can see that order's card, even if someone else owns the order.

Show progress to the client#

With Show progress to the client on, the client sees each step's name and a tick when it's done, under Progress on their order page. They never see who's doing it, due dates, notes or comments. The switch also applies to orders that already have these steps. It's off by default.

Steps added by hand on the Todo board are never shown to the client.

Templates for every order#

Settings → Templates lists every checklist, including ones that apply to every order rather than one service.

  1. Click New template, or Edit on an existing one.
  2. Set a Name and Applies to: Every order or one service.
  3. Turn on On — add these steps to new orders.
  4. Optionally turn on Show progress to the client.
  5. Add the Steps, in order and click Save template.

Deleting a template stops new orders getting its steps. Orders that already have them keep their tasks.

Checklist rules#

In Settings → Orders → Team checklists:

  • Add checklists to new orders: switch all checklists off or on. Turning it off stops new steps and keeps existing ones.
  • When checklist steps are open at the final delivery: Warn, then deliver or Don't allow delivery. Milestones before the last one are never held up.

What the client sees#

Nothing on the Todo board. If you turn on Show progress to the client for a checklist, the client sees those step names and ticks on their order page.

Tips#

  • Write a checklist for your best-selling service first, then copy the approach to others.
  • Assign steps to a role rather than a person, so work keeps moving when someone is away.
  • Use Don't allow delivery if missing a step (like a proofread) would be costly.
  • Start each day on Mine & unassigned and pick up what's waiting.
