Coupons and referrals
Discount codes and a partner programme with commissions and payouts.
Coupons give buyers a discount code to type at checkout. Referrals give partners a link of their own and pay them a commission on the clients they send. Both are optional modules you can turn on or off in Settings → Modules (Coupons and Referral program).

Coupons#
Create a coupon#
- Go to Store → Coupons and click New coupon.
- Fill in the fields below.
- Leave Active — buyers can use it on, and click Create coupon.
| Field | What it does |
|---|---|
| Code | What buyers type, for example WELCOME10. Codes are case-insensitive. |
| Note | An internal description, for example "First order, any service". |
| Discount | Percent off or Amount off. |
| Total uses | How many times the code can be used by everyone. Empty means unlimited. |
| Uses per customer | How many times one customer can use it. Empty means unlimited. |
| Minimum order | The smallest order the code works on. |
| Last day | The final day the code can be used. |
| Services | Limit the code to certain services. None picked means it works on every service. |
| Active — buyers can use it | Switch the code on or off without deleting it. |
How buyers use a code#
On a service page, the buyer clicks Have a coupon? and types the code. The discount is checked as they type and shown as a line in the order summary. If the code doesn't apply, they see why (expired, used up, below the minimum, not valid for this service) before paying.
ClientOS checks the code again when the payment starts, so the discount shown is always the discount charged. Your team can also enter a Coupon code when placing an order for a client.
On a monthly purchase, the coupon applies to the first payment only. Later cycles are billed at the full price.
Coupon statuses#
| Status | Meaning |
|---|---|
| Live | Active and usable. |
| Off | Switched off. Buyers are told the code isn't active. |
| Expired | Past its last day. |
| Used up | Reached its total uses. |
Track what coupons cost#
The coupons page shows counts of live, used-up and expired codes, total Redemptions, and What each code has cost: the revenue discounted per code, all time. In the table, sort by Most used or Most given away.
From a coupon's row menu you can edit it, Switch off or Switch on, or delete it. Delete is only offered for a code nobody has used.
Referrals#
A referral partner is anyone who sends you clients: an affiliate, a freelancer, another agency. Each partner gets a code and a short link. Anyone who opens the link and then signs up, asks for a quote or buys is credited to that partner, and the partner earns a commission on that client's payments.
Add a partner#
- Go to Store → Referrals and click Add partner.
- Fill in the fields below and click Add partner.
| Field | What it does |
|---|---|
| Name | The partner's name. |
| Optional. | |
| Code | Their link ends in /t/CODE, and ?ref=CODE works on any page. Left empty, one is made from the name. It can't be changed later. |
| Commission | Share of each payment (a percentage of every payment, less any refund) or Fixed, per client (an amount paid once, on the client's first payment). |
| Currency | For a fixed commission. Payouts are recorded in it. |
| Active — new clients and payments are credited | Turn off to stop crediting a partner without deleting them. |
Share the link#
Open the partner to find two links under Share:
- Short link:
https://portal.your-domain.com/t/CODE - Any page, with their code: add
?ref=CODEto any public page address.
When someone opens either link, ClientOS remembers the partner for 30 days. If that visitor signs up, asks for a quote or buys within that time, they are credited to the partner. The first partner wins: a client already credited to one partner isn't moved to another by a later link.
Credit a client by hand#
On a partner's page, click Credit a client and pick the Client company. Crediting by hand replaces whatever credit the client had. To stop a credited client earning commission, choose Remove credit; commissions already earned stay.
Commissions#
A commission is earned when a referred client's payment succeeds. ClientOS adds new commissions automatically in the background.
| Status | Meaning |
|---|---|
| Pending | Earned and waiting for your approval. |
| Approved | Approved and owed to the partner. |
| Paid | Included in a recorded payout. |
| Void | Cancelled. A full refund voids an open commission; a partial refund lowers it. |
From a commission's row menu you can Approve, move it Back to pending, or Void it.
If a payment is refunded after its commission was already paid, ClientOS records a Clawback: a negative amount that comes off the partner's next payout. You can Waive a clawback if you decide not to recover it.
Record a payout#
- Send the partner their money outside ClientOS, for example by bank transfer.
- Open the partner and click Record payout.
- Pick the currency if they have balances in more than one, set Paid by and add a Reference to match your bank statement.
- Click Record payout. Every approved commission in that currency is marked paid.
Read the numbers#
The referrals page shows Partners, Waiting for approval, Owed (approved, not paid) and Paid out, plus a table of partners and the Latest commissions. Each partner's page breaks this down with Clients referred, their commissions, Clients credited and Payouts.
What the client sees#
- Coupons: a Have a coupon? link on service pages, and the discount in the order summary.
- Referrals: nothing changes for a referred client. If a partner is also one of your client contacts, they see Referrals in their portal settings with their links, how often the link was opened, the clients they referred (shown by date and whether they have paid, never by name), their commissions and their payouts.
Permissions#
| Permission | Lets someone |
|---|---|
| See coupons | Open the coupons page. |
| Create a coupon, Edit a coupon, Delete a coupon | Manage codes. |
| See referrals | Open partners and commissions. |
| Add a partner, Edit a partner | Manage partners, credit clients and move commissions. |
| Pay a partner | Record payouts. |
Tips#
- Give each campaign its own code so What each code has cost tells you which campaigns pay off.
- Set a Last day on promotional codes so they don't live forever.
- Use Uses per customer of 1 for welcome offers.
- Review Waiting for approval before each payout run, and void commissions for clients who later dispute or churn.
- Give each partner a readable code. It can't be changed once the link is out.
