The client portal
What your clients see and do, and the roles inside their company.
The client portal is where your clients buy, follow their orders, talk to you, pay invoices and manage their own team. It carries your name, logo and colours, runs on your own domain, and shows each person only what their company role and access switches allow. This page walks through every portal page from the client's side, and explains the roles inside a client's company.
Where the portal lives#
The portal is its own app, served on your portal hostname (for example portal.youragency.com). Your team works in the separate admin app. See Installation for the hostnames and Branding and white-label for how it looks.
You decide what appears in the sidebar under Settings → Portal menu, and what the home page shows under Settings → Dashboard.
Signing in#
Clients never get a password from you. They sign in at the portal's /login page with any of these:
| Method | How it works |
|---|---|
| Emailed code (default) | They enter their email and click Email me a code. A six-digit code arrives that works once and expires in ten minutes. |
| Password | Optional. A client can set one from Settings → Security, then choose Sign in with a password instead. Forgot password? mails a reset link. Passwords must be at least 12 characters. |
| Continue with Google | Shown only when Google sign-in is configured on your install. It signs in an existing client; it doesn't create accounts. |
If the client has turned on two-factor authentication, they're then asked for the code from their authenticator app, or can choose Use a backup code.
The sign-in screen never says whether an address has an account. An unknown address simply receives nothing, so nobody can use the form to find out who your clients are.
How a client gets an account#
- You add them under Clients. Adding a client is the invitation. See Clients and companies.
- They buy from a public service page. A new buyer gets a sign-in code and lands in the portal with their order. See Checkout and payments.
- A colleague invites them from the portal's Settings → Team.
- They sign up at
/signup, if you've switched on Enable the signup page under Settings → Clients. You can also Block free email providers and Require a company name there.
Portal pages#
The default sidebar has these pages. Optional modules add or remove pages, and you can rename, reorder or hide links.
| Page | Route | What the client does there |
|---|---|---|
| Overview | / | Sees what needs them, their orders, figures and your contact person. |
| Services | /services | Browses your store and starts a new order. |
| Orders | /orders | Follows every order, fills in requirements, reviews deliveries, approves or asks for a revision. |
| Messages | /messages | Chats with your team. Needs the Messages module. |
| Files | /files | Finds everything delivered to them and everything they sent you. |
| Invoices | /invoices | Reads, downloads and pays invoices, and manages the saved card. |
| Subscriptions | /subscriptions | Sees what renews and when, and changes or ends a plan if you allow it. Needs the Subscriptions module. |
| Support | /support | Opens and replies to support tickets. Needs the Helpdesk module. |
| Reports | /reports | Reads the monthly report of the work you did for them. |
| Settings | /settings | Profile, company, team, notifications and security. |
Overview#
The home page opens on what's blocked, so it gets unblocked. Depending on what you've switched on under Settings → Dashboard, it shows:
- your welcome message and a welcome video,
- Needs your attention: orders waiting on the client,
- Fill in your requirements: paid orders still waiting on a brief,
- headline figures (active orders, what's waiting on them, and what's outstanding for people who can see invoices),
- their recent orders, unpaid invoices and open conversations,
- services to order, your contact person, and reviews and case studies,
- an optional star-rating feedback card.
See Branding and white-label for configuring each card.
Services#
The store lists your published services by category. Clicking one opens its service page, where the client picks a package, quantity and add-ons, applies a coupon and pays. Signed-in clients can spend account credit at checkout. Services priced on request show Ask for a quote, which opens a support ticket. See Services and the store.
Orders#
Each order shows its status, what was bought and the timeline of work. From an order the client can:
- answer the requirements (the brief) so work can start,
- review a delivery and accept it or ask for a revision,
- rate a delivery ("How did we do?"),
- see the checklist progress, if you share it,
- chat about the order and upload files,
- ask you to cancel it (owners and admins only).
Which orders a person sees depends on the Collaborate on orders switch. Without it, they see only orders they placed. See Orders and delivery.
Messages and Support#
Messages holds the company's general conversation with your team and one conversation per order. Support holds tickets: the client can open a New conversation, reply, attach files and rate a closed ticket. See Messages and files and Support tickets.
Files#
Files lists every file on the account: deliveries, attachments from orders and messages, and files you shared with the company. Uploading happens on an order or in a message, and needs the member role or higher.
Invoices#
The Invoices page lists every invoice issued to the company with its status. Opening one shows the lines, payments, any credit notes and the balance. From there the client can:
- pay the balance under Pay this invoice, through any gateway you've connected or your manual crypto wallets,
- click Use credit to settle it from account credit,
- confirm a card payment with their bank when it asks ("Confirm with your bank"),
- click Query this invoice to ask you about it, through Support (or Messages when Helpdesk is off).
Below the list, the Payment method panel holds the saved card that subscriptions are charged on. Cards are held by Stripe. Owners and admins can add a card, Make default or remove one; everyone else sees the card but can't change it.
Draft invoices are never shown to clients. See Invoices and credit.
Account credit#
When the company holds account credit, an Account credit button appears in the top bar beside the bell. Its panel shows each balance and recent movements. Owners and admins can Request a refund of credit, which opens a support ticket for your team; nothing moves until you pay it out.
Subscriptions#
Each subscription shows its price, next charge date and the invoices it has raised. If you allow it under Settings → Payments, owners and admins can Change your plan (taking effect at the next renewal) or end the subscription at the end of the paid period. See Subscriptions.
Reports#
After each month with orders, deliveries or invoices in it, a report of that month appears here, and the client is emailed that it's ready. It shows orders placed and delivered, the share delivered on time, what's still in progress, what was delivered, and what was invoiced and paid. Reports never show your costs or margins.
Reports isn't in the default sidebar. Clients reach it from the "report ready" email. To give it a menu link, add a custom link to
/reportsunder Settings → Portal menu.
Portal settings#
| Section | Route | Who sees it | What's there |
|---|---|---|---|
| Profile | /settings | Everyone | Full name, phone, your custom fields marked "show in portal", and Billing details (company name, tax ID, address) that print on invoices. Email is read-only. |
| Company | /settings/company | Clients | The company's name, website and logo. Only owners and admins can change them. |
| Team | /settings/team | Clients | Who else from the company can sign in, and inviting colleagues. |
| Notifications | /settings/notifications | Everyone | Which notifications reach their inbox and which wait in the bell. |
| Security | /settings/security | Everyone | Password, two-factor authentication, and where they're signed in. |
| Referrals | /settings/referrals | Referral partners only | Their referral link, referred clients, commissions and payouts. |
Company roles and permissions#
Every person has a role in each company they belong to. The role decides what they can do; the three access switches you set in the admin decide which orders, tickets and invoices they can see.
| Role | Summary |
|---|---|
| Owner | Full access, including the team and billing. |
| Admin | Everything the owner can do, except transfer ownership. |
| Member | Places orders and answers approvals. Can't change the team or billing. |
| Viewer | Read-only. Sees the work, changes nothing. |
| Permission | Owner | Admin | Member | Viewer |
|---|---|---|---|---|
| See the team | Yes | Yes | Yes | Yes |
| Invite, change and remove colleagues | Yes | Yes | No | No |
| Edit the company's name, website and logo | Yes | Yes | No | No |
| See orders | Yes | Yes | Yes | Yes |
| Fill in requirements | Yes | Yes | Yes | No |
| Accept deliveries or ask for revisions | Yes | Yes | Yes | No |
| Ask to cancel an order | Yes | Yes | No | No |
| Upload files | Yes | Yes | Yes | No |
| See invoices | Yes | Yes | Yes | Yes |
| Manage the saved card and change or end subscriptions | Yes | Yes | No | No |
| See support tickets | Yes | Yes | Yes | Yes |
| Open and reply to tickets | Yes | Yes | Yes | No |
| See messages | Yes | Yes | Yes | Yes |
| Send messages | Yes | Yes | Yes | No |
Roles and access switches combine. A member without Access invoices sees no invoices even though members can read them. A viewer with every switch on still can't change anything.
Only an owner can make, demote or remove another owner, and every company keeps at least one owner. You can also change anyone's role from the admin, on the client's record.
Invite colleagues#
Owners and admins can bring their own team into the account.
- In the portal, go to Settings → Team.
- Click Invite.
- Enter Name and Email, and choose a Role. Admins can't invite owners.
- Submit the form.
The new person appears with an Invited chip until they first sign in. They sign in with an emailed code like everyone else. To change someone's role or remove them, open the menu on their row.
Notifications#
Clients get notifications in the bell (top bar) and by email. The bell updates live and has All and Unread filters and Mark all read.
Under Settings → Notifications, each person switches each event on or off for in the app and by email, within what you allow. Anything you switch off workspace-wide under Settings → Emails can't be switched back on by a client. Billing notifications reach only people with Access invoices; order notifications reach people with Collaborate on orders. See Notifications and email.
Security and two-factor authentication#
Under Settings → Security:
- Two-factor authentication: click Set up, scan the QR code with any authenticator app (or enter the key by hand), type the six-digit code and click Turn on. Save the ten backup codes shown. Each works once.
- Password: set or change an optional password. A client without one can still sign in with codes.
- Where you're signed in: every device and browser with an open session. Sign out anywhere you don't recognise.
Search with ⌘K#
Press ⌘K (Mac) or Ctrl+K (Windows), or / when not typing, to open search. It finds:
- Pages from the portal menu,
- Records: the client's own orders, their non-draft invoices (if they can see invoices) and your published services,
- Actions: New order and switching the theme.
Search only ever returns what the client could already open.
Light and dark theme#
The theme toggle in the top bar switches between light and dark. It's also available as an action in ⌘K search.
On a phone#
Below tablet width, the sidebar becomes a tab bar along the bottom of the screen: four destinations from your portal menu plus More, which opens the whole menu. If you've set a focus button (such as New order), it's drawn as a raised tab in your accent colour. Clients can save the portal to their home screen, where it uses your mobile app icon.
What your team sees#
Staff who open the portal see an empty account, because the portal shows a company's records and staff don't belong to one. To see a specific client's portal, use Sign in as from the admin. See Clients and companies.
Tips#
- Turn on Show in the client's portal for custom fields you want clients to keep up to date themselves.
- Set a welcome video so new clients learn the portal without a call.
- Give finance contacts Access invoices only, and project contacts Collaborate on orders only.
- If you sell to agencies who show the work to their own clients, use the Viewer role for those end clients.
