Leads and tracking

Lead pipeline, website form capture, short links, funnels and ad conversions.

admin.youragency.com

The Sales area is where you see people before they become clients. It holds a leads pipeline, connects the contact forms on your own website, tracks where visitors to your portal pages come from, and sends conversions back to Meta and Google Ads.

Switch to it with the area switch at the top of the admin menu: Operations is your day-to-day work, Sales is everything here.

Where it lives#

Sales overviewSales → Overview/sales
Leads pipelineSales → Leads/sales/leads

Connect your website's formsSales → Connect → Website forms/sales/website

Leads are always on. Tracking is the optional Traffic tracking module in Settings → Modules.

The leads pipeline#

A lead is someone who got in touch but hasn't bought. Leads arrive by themselves from your website forms, or you add them by hand.

Lead statuses#

StatusMeaning
NewNobody has answered yet.
ContactedYou wrote back; the next step is yours or theirs.
QualifiedA real fit, worth a proposal.
ProposalAn offer is with them, waiting on their answer.
WonThey bought.
LostNot going ahead.

New, Contacted, Qualified and Proposal count as open.

Work the leads list#

Sales → Leads lists every lead with its status, source, what they asked about, owner, value, campaign, country and when it arrived.

  • Filter by Owner (Anyone, Mine, Unassigned) and Source (Google Ads, Meta Ads, Not from an ad).
  • Use the status tabs to see one stage at a time.
  • Search by name, email, company or campaign.

Add a lead by hand#

  1. Click New lead.
  2. Fill in Name, Company, Email, Phone or WhatsApp, Asked about, Worth and What they said.
  3. Click Add lead.

Work one lead#

Open a lead to:

  • change its Status and owner
  • set what it's Worth
  • read What they said and Everything else the form sent
  • see Where they came from: referrer, landing page, form page, UTM tags and ad click IDs
  • reach them by email, phone or WhatsApp
  • Edit details to correct what they typed (where they came from stays as it arrived)
  • delete the lead

ClientOS records ad click IDs from Google (gclid, gbraid, wbraid), Meta (fbclid, _fbc, _fbp), Microsoft (msclkid) and TikTok (ttclid), so you can see which leads came from paid ads.

The Sales overview#

Sales → Overview shows, for the last 7, 30 or 90 days or 12 months:

  • Open, Unassigned, From ads and Won leads
  • Leads per day
  • Pipeline: leads that arrived in the period, by where they are now
  • Where they come from: by Source, Channel, Campaign, Ads platform and Landing page
  • Who they are: by Audience and Form, if your website sends them
  • Latest leads

Capture leads from your website#

Your marketing site's contact forms can send each submission straight into Leads, with the ad or link that brought the person. You keep your own forms; ClientOS gives you a key and code snippets.

Make a capture key#

  1. Go to Sales → Connect → Website forms and click New key.
  2. Give it a Name, such as "Contact form".
  3. Choose the key kind:
    • Browser key: pasted into your website's JavaScript. List the Websites allowed to use it so it only works from your domains (www and the bare domain count as one; empty admits any website).
    • Server key: kept on your website's own server in an environment variable named CLIENTOS_LEAD_KEY, never sent to a browser. Use it when your forms post to your own server first. The server passes on each visitor's IP, so limits and ad matching are per visitor.
  4. Click Make key.
  5. Copy the key now. It is shown only once.

Make one key per site or form, so each can be switched off on its own. Revoke key stops a form from sending leads at once; leads it already sent stay.

Add the snippet to your site#

Under Add it to your website, the page shows ready-to-paste code for the key kind you chose, with the key filled in until you leave the page:

  • For a browser key: a helper file and the form code.
  • For a server key: a server file and the route code.

The helper remembers the landing page and referrer when a visitor arrives, and sends them with the form, along with the page address and Meta's _fbp and _fbc cookies. Submissions go to https://api.your-domain.com/v1/lead-capture.

Any field names work. Common ones like name, email, phone, whatsapp, company, message and service fill the lead's columns; anything else is kept as an extra field on the lead.

How capture is protected#

  • A browser key only works from the websites you list.
  • A key only ever creates a lead. It never creates an account or a client.
  • A hidden honeypot field catches simple bots.
  • Rate limits cap posts per visitor and per key.
  • The same person sending the same message twice within a few minutes makes one lead.

Lead emails#

Website leads can get emails from you automatically, sent from your own Resend account and brand. Each has a one-click unsubscribe that needs no account, and replies go to your support address.

EmailWhenDefault
Thanks, at onceThe moment the form arrivesOn
Follow-up 1Day 2Off
Follow-up 2Day 5Off
Follow-up 3Day 10, and says it's the lastOff
  • Follow-ups only go while the lead is still New. Moving it to Contacted or beyond stops them.
  • Switch emails on or off in Settings → Emails, and edit their words in Settings → Email templates. Edit words on the Website forms page links straight there.
  • The follow-ups include a button to your meeting link from Settings → Company → How clients reach you, if you've set one.
  • Leads you add by hand are never emailed.

Tracking shows where visitors to your signup page, service pages and forms come from, and how far they get. Every visit to those pages is recorded while the module is on. Tracking links let you label where you posted a link and compare what each brings.

  1. Go to Sales → Tracking and click New link.
  2. Give it a Name, such as "Facebook ad — spring launch".
  3. Under Goes to, choose Signup page, Service page or Form, then pick the service or form.
  4. Optionally set the Link ending. Left blank, it gets a short random ending. Once shared, keep it.
  5. Add Source, Medium and Campaign tags, and Notes about where it's posted.
  6. Click Create link and copy the short link: https://portal.your-domain.com/t/ENDING.

What's recorded#

For every visit: the channel (Tracking link, Search, Social, Email, Other sites, Direct), referrer, UTM tags, device, browser, operating system, country and city.

Each visit also records the steps it took:

Paying, asking for a quote, submitting a form and creating an account count as conversions.

Read the reports#

The Tracking page shows clicks, visits, conversions, unique visitors, Visits per day, the Funnel and the Latest visits with every step each took. A live Activity feed updates as visits happen.

Open a link for its own report: Sources, Devices, Locations, Checkout (payment methods picked and coupons applied), visits per day and recent visits. You can Archive a link to stop counting new clicks, Restore it, or delete a link nothing has been recorded through.

Send conversions to ad platforms#

Meta Conversions API#

ClientOS sends leads and won sales to Meta from the server, so Facebook and Instagram ads can optimise on real results.

  1. In Meta Events Manager, open your dataset (pixel) → Settings. Copy the ID, and under Conversions API choose Generate access token.
  2. Go to Sales → Connect → Ad platforms and click Connect Meta.
  3. Paste the Pixel (dataset) ID and Access token. Optionally add a Test event code from Events Manager → Test events.
  4. Click Connect. ClientOS checks with Meta before saving anything.

Once connected:

  • a Lead event goes when a lead arrives (from your website or added by hand)
  • a Purchase event goes the first time a lead moves to Won, with its value

Only leads Meta can match (with an email, a phone number with country code, or Meta's cookies) are sent. Events older than Meta's seven-day limit are skipped. The What was sent table shows the latest 50 with their status.

Remove the test event code once you've seen an event arrive in Test events. While it is set, events don't count toward your ads.

Connecting Meta needs the Integrations settings permission.

For Google, ClientOS gives you a file to upload.

  1. In Google Ads, go to Goals → Conversions → New → Import → "Track conversions from clicks". Create two conversion actions named exactly ClientOS lead and ClientOS sale.
  2. On Ad platforms, click Download conversions file.
  3. Upload it in Google Ads under Goals → Uploads.

The file lists every lead with a Google click in the last 90 days as a lead, and each won one again as a sale with its value. Uploading the same file again is safe; Google skips what it already has.

What the client sees#

Nothing in Sales is visible to clients. Visitors only see the pages your links lead to, and website leads receive the emails you've switched on.

Tips#

  • Give every ad, newsletter and partner placement its own tracking link, then compare them on the Tracking page.
  • Add utm_campaign to your ad links so the Sales overview can group leads by campaign.
  • Move leads out of New as soon as someone replies, so follow-up emails stop.
  • Use a server key if your website already posts forms to its own backend. It gives better ad matching than a browser key.
